International Incoming Visit, May 2009


Over the weekend of 15th-17th May 2009, the Club is entertaining visiting International Guests from RC St. Nazaire (FR), RC Gulpen Vaals (NL) and RC Ingelheim (DE).  Ascot Rotarians can find more detailed planning arrangements in the Member Area of this web site (International tab).

The arrangements are summarised below.

Friday 15th May - Pickup and evening meals

Dutch Guests arriving by Car - driving to the Berystede Hotel or Host Rotarians
German Guests arriving by LH4736, Heathrow Terminal 2, 16:55 - met by Hans-Juergen, taken to his home
French guests arriving by AF 1889, Heathrow Terminal 2, 19:20 - Met by designated Rotarians, taken to Berystede

  • 19:30 - Dutch guests picked up by designated Rotarians from Berystede - taken to Host Rotarians houses for dinner.
  • German guests make their own way to designated Rotarian hosts for dinner
  • 21:00 - French guests eat in hotel with designated Rotarians  
  • 23:00 (approx) Guests return with designated Rotarians   

Saturday Morning-Afternoon Blenheim Palace visit

International guests picked up from the Berystede, Rotarians picked up 09:00 at Jaguar Garage Car Park, Ascot High Street.

  • 08:45 Coach picks up French and Dutch guests and designated host Rotarians from the Berystede
  • 09:00 Coach picks up remaining guests and Rotarians from Ascot High Street Car Park
  • 10:15 Guided tour of Blenheim Palace
  • 12.30: Coach leaves Blenheim to go to the Kings Arms at Woodstock for lunch (one course, to include a glass of wine or soft drink, tea/coffee) 
  • 14:15 Shopping time in Woodstock
  • 15.15: Coach to leave Woodstock. 
  • 16.30: Coach should arrive at Ascot.

Saturday Evening - Charter Dinner, Dorney Lake (Black Tie)

International guests to be transported by designated Rotarians to and from Dorney Lake

Charter Dinner - 19:00 for 19:30, comprising gala meal, followed by toasts, then entertainment.

Sunday Morning - Wisley visit

  • 09:15 French guests picked up from Berystede by designated Rotarians, driven to Wisley
  • Dutch and German guests, and Rotarians not transporting International guests make their own way to Wisley
  • 10:00 International guests and Rotarians meet at Wisley Car Park for Group Entry
  • 10:10 Free-format tour of gardens
  • 12:30 Meet up at restaurant for meal  - German guests depart to catch 14:20 flight
  • 12:45 Lunch (3 course + coffee)
  • 14.30: Farewells - 
    • Designated Rotarians take the French guests (who are flying at 16.40) to Heathrow 
    • Dutch guests leave by car
